A Practical Guide to Planning Your Business Chatbot

Use this free planning guide to turn a chatbot idea into a clear project brief. Read the steps below, then request a follow-up if you would like help applying them to your business.

1. Choose the customer task

Write one sentence describing who needs help and what they should be able to do. For example: help a prospective customer identify the relevant service and send an enquiry to the team. Keep the first scope small enough to test.

2. Prepare approved information

List the pages and documents the chatbot can use. Check that they agree on services, prices and contact details. Assign someone to keep the information current. Remove private records from examples used to plan or demonstrate the flow.

3. Select the conversation approach

Choose guided rules for a predictable task, AI for varied information questions, or a hybrid where both are useful. Define the points where a person takes over.

4. Identify connections and data requirements

A website widget and a business-system connector are different scopes. Name the actual tools involved and what the chatbot would need to read or do. Confirm compatibility, permissions and information handling before implementation.

5. Agree how success will be checked

  • Test normal and unexpected questions.
  • Check the human contact route.
  • Verify that enquiries reach the intended destination.
  • Keep bookings or payments separate from a conversational claim.
  • Agree an owner for updates and an ongoing support arrangement.
